What does wedding coordination involve?
It means bringing your previous arrangements together into a wedding schedule and making sure suppliers can carry out their work according to that plan. You plan the wedding, while the planner learns the details, checks how everything fits together and takes charge of the agreed tasks during the event.
This lets you focus on sharing the day with your loved ones, while someone else handles the logistical questions. The coordinator knows who is due to arrive, what needs to be ready and who must be told about a change.
Why does the work begin before the wedding?
Simply arriving at the venue on Saturday is not enough to coordinate several or a dozen different businesses. Contracts, orders and important arrangements in correspondence must first be reviewed to check that they form a workable plan.
The start date depends on the project and the agreed scope, so you decide it individually. Booking coordination in advance does not automatically mean that the planner handles all outstanding services from the moment you sign the contract.
What does preparation for coordination include?
- Reviewing arrangements and missing information, so everyone knows what has been ordered and who is responsible for what.
- A wedding-day schedule covering setup, preparations, travel and the moments that matter to you.
- A plan for the final preparations with tasks, deadlines and the people responsible for completing them.
- Confirming the plan with suppliers, so they know the latest arrangements and what is possible when carrying out their tasks.
- Agreeing contingency plans, such as a bad-weather alternative for an outdoor ceremony.
What happens during the wedding and afterwards?
The wedding planner coordinates the suppliers, venue and their own team, checks that each element is ready and helps guests follow the day's arrangements. If something takes longer, they assess how the delay affects the rest of the schedule and pass on the necessary information.
After the reception, they may oversee agreed dismantling, returns, payments or the handover of entrusted items. The scope of these tasks and the end of the working relationship should be agreed in advance.
Where does coordination end and planning begin?
If a decorator or transport still needs to be found, quotes collected and the service organised, that is additional planning work. You can entrust it to the wedding planner after agreeing the scope and fee.
Before choosing an offer, ask when coordination preparations begin, who will be present, which tasks are included in the price and what information you need to provide. This makes it easier to compare the actual support offered.
